Most scheduling problems in a small business are not dramatic. Two clients turn up for the same chair. A 30-minute job gets an hour. Someone books for a day you are closed. Each one costs a little time and goodwill, and they add up. Here are the mistakes we see most often, and what to do instead.
1. Service times that are a guess
If a service is listed as 60 minutes but usually takes 75, every appointment after it runs late, and by the afternoon you are apologising to people in the waiting area. Time your real services for two weeks and use those numbers. If the same service varies a lot, split it: “short hair” and “long hair”, or “small dog” and “large dog”, so the client picks the one that fits.
2. No time between appointments
Cleaning down, writing notes, taking payment and a two-minute breather all take time. If the calendar does not allow for it, you lose it from the next client. Add a buffer after the services that need one. In SlotTurn you can set a default for the business and a different one per service, so short jobs do not carry the same gap as long ones.
3. Hours online that do not match real life
Your booking page will happily sell a Monday if you forgot to mark Mondays closed, or a slot during the week you are on holiday. Every time your hours change, change them in the booking tool the same day. Add holidays and days off as soon as you know them. SlotTurn lets you add a closure that shows a notice on your booking page and emails clients who already had an appointment that day.
4. Two calendars that do not talk
A paper book at the desk, a booking app, and phone bookings written on a sticky note is how double bookings happen. Pick one place where every appointment lives, including the ones taken by phone and walk-ins you want to hold time for. If you need your day on your personal phone calendar, use a calendar subscription so it is a copy of the real book, not a second book. SlotTurn includes one on Solo, Starter and Pro.
5. Letting people book too close to the start time
If someone can book a colour 15 minutes from now, you may not have the product ready or the right person free. Set a minimum notice, such as two hours, or a day for work that needs preparation. Set how far ahead clients can book too, so nobody grabs a slot in a month you have not planned yet.
6. Making cancelling hard
It sounds backwards, but making it hard to cancel causes more empty slots. A client who has to call during opening hours puts it off, and then does not come. Give every client a simple way to cancel or move their appointment, ideally a link in the confirmation and reminder. Set a cutoff if you need a firm notice period.
7. No reminder, or too many
No reminder means more forgotten appointments. Four reminders mean clients start ignoring all of them. One clear reminder about a day ahead, with the time, the address, and a way to change plans, does most of the work. SlotTurn sends one reminder for every appointment about 24 hours before. Check which reminder channels each plan includes.
8. Saying yes to every request automatically
Some bookings need a person to look first: a long tattoo session, a colour correction, a repair you have not diagnosed, a new client asking for a two-hour slot. If those land straight in the book, you may find out too late that the time or the person is wrong. Owner approval holds online requests until you accept them. If most of your services are straightforward, leave approval off and use a separate consultation service for the tricky ones.
9. Never looking back at what happened
If you do not mark no-shows and late cancellations, you cannot tell whether a change helped. Record them the same way every time and look at the numbers once a month. You will usually find one specific cause: one service, one day, or one type of client. Fix that and leave the rest alone.
A five-minute check you can do today
- Book an appointment on your own booking page from your phone, as a client would.
- Check that the service length, price and address are right in the confirmation.
- Try to book on a day you are closed. You should not be able to.
- Use the link in the confirmation to move the appointment, then cancel it.
- Check your own calendar shows every step correctly.
If anything surprised you, fix it before the next client finds it. For the next step, read how to fill empty appointment slots, or see how SlotTurn is set up for a tattoo studio, a repair shop or a therapy practice.
